Why Do Emails Land In Spam
As diverse and amazing as your email subscribers are, so are the email service providers they use.
Go to your Audience > Subscribers dashboard to see for yourself. Scroll through the list and youll probably see a rainbow of email accounts, including gmail.com, outlook.com and yahoo.com addresses, to name a few. Youll even find email addresses from custom domains.
All of these email service platforms work slightly differently. But their main goal is the same: to provide their users with the best email experience, including protecting their accounts from harm and filtering out certain emails as spam.
But why would they filter out my email as spam now?
Ive been sending emails to my subscribers for monthsor even yearswithout any problems.
Well, actually, thats the exact reason why they do it.
If youve been emailing your list from another email marketing platform for a whilethink MailChimp, ActiveCampaignthen the spam filters have learned to let your emails through as safe. They learned this based on the positive actions your subscribers took in the past. Like opening and clicking links in your emails.
But when you switched over to Flodesk, now your emails are coming via Flodesks servers. This is something new and unexpected. Your subscribers email provider may wonder if it’s a hack. And to protect their subscriber’s inbox, they may deliver the message to the junk folder.
Set Up The Spf Record Between Your Domain And Mailchimps Servers
Over the past 3 months, Ive gotten a pretty good understanding of how email campaigns work and how to fight spam. I spent about two weeks redoing our transactional mailers at Nudge Rewards and, more recently, launching our Toronto Review website, d. In those two weeks I was able to sanitize our mailers, improve our spam assassin score to a perfect 10/10 and increase delivery rates to subscribers.
Your Content Triggers Spam Filters
Spam filters check for certain words . If an email gets enough hits or contains those words in addition to some of the other items on this list, it can end up in spam folders. Spam trigger keywords can include:
- Multiple exclamation points or dollar signs in a row
- Words with unnecessary spaces or punctuation
- Words that are in ALL CAPS
In general, these are words that are either heavily sales-oriented or clearly designed to get around spam filters . While using a handful of these isnt necessarily a death sentence for your messages, using too many of them can be.

Overly salesy language and too many keywords can trigger spam filters
Of course, some of these keywords are tough to avoid, especially if youre sending ecommerce or financial emails. To get around this problem, you can use varied language and try to get creative about how you phrase things.

Why The Mailchimp Campaign Was Identified As Spam
The most likely reason for the high delivery rates and low open rates, after deduction of the four common causes for low open rates int his case, is that the campaign was identified as spam by the receiving server.
On looking at the email campaign as sent it was immediately obvious as to the issue all text in the campaign was embedded on an image. Text should always be added as typed text and not saved to an image which is then added to an email campaign. Facebook provide a great way to test whether there is too much text on your email campaign images. Run your image through the free Text Overlay Tool and if the results are anything but OK then your email campaign is likely to be identified as spam by email spam filters.
The email campaign sent by the person that had contacted me had been identified as spam because of the amount of text embedded on an image. An email should not contain an image with text saved to the image itself Always add text as typed or pasted text in a Mailchimp text content block or image block where typed text is allowed.
Why Are Your Mailchimp Emails Going To Spam
When you start an email marketing campaign, building and maintaining high deliverability is your primary concern. So, whenever you see that your open rate doesnt keep up with expected KPIs, you do everything you can to fix it. You rewrite your templates, you change your targeting and clean your sending list, you keep testing your mailboxes for spam repeatedlyand you employ various email services to improve your outreach.
Take Mailchimp, for example. Everybody loves Mailchimp for a good reason. Its easy-to-use, its reliable. It has flexible pricing and offers amazing templates. Users love it, internet service providers love it, so using Mailchimp for outreach will ensure high open rates, correct?
Sadly, if things worked like this, our clients wont come to us with such an issue as Mailchimp emails going to spam. It happens more often than you think. Each time, our customers are completely at a loss and start thinking bad about the service, even though Mailchimp has nothing to do with it.

The most important factor in email deliverability is domain reputation. Think of it as something similar to the reputation that we build as individuals in society. It is affected by who you are associated with and what youve done in the past.
When it comes to email marketing, domain reputation is your credibility towards the receiving mailbox providers. Some factors that affect your domain reputation include spam complaint rates, bounce rates, spam traps, and engagement.
If your domain reputation is poor, it also consequently decreases the deliverability of your Mailchimp campaign.

Authenticate Your Domain And Spf Records
To authenticate your domain and verify MailChimps servers so that your mail can send reliably, youll need access to your domains DNS records and your MailChimp account:
· In MailChimp, go to Account Settings Verified Domains. Click View Setup Instructions to view your domain authentication .
· In your domain, go to the DNS Zone Editor and view the DNS records for your domain.
· Create a new CNAME and modify the existing TXT record for your domain, one at a time. You should have access to the values for each record from the first step. The key here is modifying the existing SPF record as your domain can only have a single SPF record. Youll still need to create a new CNAME record.
· DKIM: Create a CNAME record for k1._domainkey.example.com with this value: dkim.mcsv.net. If you need to insert a TTL for the record, follow your other records I set the TTL to 144000.

· SPF: Modify the TXT record for example.com. Your domain can only have a single SPF record. Youll want to modify the SPF record that already exists in your DNS records and combine them like so :

-all: mails sent from hosts not specifically allowed are not permitted to send mails. ?all: means any not specified host is neutral and nothing can be said about the validity of it.

Domain providers account interfaces vary greatly and so it’s not possible to go through them all here. However, accessing domain DNS Records usually runs as follows
Log into your domain account > domains > yourdomain > DNS > DNS Records > Add DNS Record.
In this section of your domain provider account, you’ll choose add a CNAME Record and a Text record.
Adding The CNAME Record
The CNAME record consists of a subdomain of which the following precedes the primary domain

The secondary element of the CNAME is the âcanonicalâ. It is sometimes called something else such as âpoints toâ, depending on the domain host. The following is what you enter in that field.
Finally, edit the TTL to 600 from the default value . This will process the CNAME faster.
Save the CNAME Record.

You Have Low Mailbox Usage
In their spam filtering algorithms, email service providers look at the ratio of active to inactive email accounts on your list. An inactive email account is an account that hasnt been used for a long time or is rarely used.
If youre mailing a campaign to a large number of email addresses that appear to be inactive, thats a red flag to spam filters.
To prevent this, clean up your email list periodically of any subscribers who havent engaged with your campaigns in a while.
You can do that by sending a win-back email to increase engagement. This is a way of giving your audience one last chance to start engaging with their company before you remove them from your email list. Heres a good example:
Notice the email copy is direct and addresses the situation head-on. Then, the call to action encourages users to reengage.
Depending on your email service provider, you may be able to do this automatically. Some providers include a feature to automatically purge any emails from your list that look like theyre inactive.

Reason : Recipient Server Block
Occasionally, an email recipient’s company email server will block MailChimp emails and the emails will bounce back. Sometimes it looks like spam to the company server if a lot of employees get the same marketing email at once. After a hard bounce happens, MailChimp will no longer send emails to the address to protect your reputation as a sender.
What you’ll find is that the email addresses aren’t actually missing – they are still in your MailChimp list, they’re just not being counted. They are actually what MailChimp calls “cleaned.” You can see this label by clicking on the email address in the MailChimp list. What this means is that the email soft bounced a few times and then hard bounced, so MailChimp decided that it wasn’t going to send emails to that address anymore to protect your sender reputation.
If you notice two or more emails that are “cleaned” have the same domains , this is almost certainly the case.
The solution to this is for the members to work with their tech team to fix it on their end. Members can give their IT department this link to whitelist MailChimp emails.
Whitelisting lets the server know that their emails are okay to receive. If that is not an option, the members will need to use personal email addresses to continue receiving marketing emails from your association.
How Spam Filters Work

While this might seem like a bad thing , it can actually have the opposite effect, provided that your content is strong. Giving people an easy way to get off your subscriber list shows that your brand is trustworthy.
On the other hand, hiding or simply not providing an unsubscribe option is a sure-fire way to frustrate people. It can also result in negative press about your newsletter , and generally rub people the wrong way.
