How Is This Different From Online Archive
Online Archive is a feature for Microsoft 365 enterprise customers who have uncommonly large mailboxes. These customers can use an Online Archive to avoid deleting old mail. A users Online Archive acts somewhat like a second account in Outlook with its own folder structure. Therefore, it isnt included in searches performed from the Inbox.
If an Online Archive is enabled, administrators and users can set up their mailbox to automatically move old messages to the Online Archive using Archive Policies.
Finding Archived Emails In Gmail Using The Search Bar
Unfortunately, theres no archive label you can use to search for when youre using the Gmail search bar at the top of the Gmail website or in the Gmail app.

When you archive an email, it skips Inbox and moves to All Mails. All Mail is your archive, a storage place for all the mail youve ever sent or received, but have not deleted.

To make the One Click Gmail Archived Mail Solution work for your Gmail email, you need to enable the Send and Archive Email button in compose section of your Gmail account.

What About Autoarchive
AutoArchive is an older Outlook feature that allows automatic moving of old mails to a .pst file. This means that the messages are removed from the server and are harder to find through search. If the hard drive that contains the AutoArchive.pst becomes unusable, these messages are lost. Online Archive is an enterprise-grade replacement for AutoArchive.

What Archiving Does
To understand its benefits, you need to know what exactly happens when you archive old Gmail messages.
- Archived emails aren’t automatically deleted. The Archive is like a vault. While trashed emails are automatically deleted after 30 days, archived emails will stay in your Gmail until you manually remove them.
- Archived emails can be searched. Gmail has a powerful search engine. When you search for anything, archived emails are a part of that. If you want to exclude them and only search your inbox, type in:inbox before the search term.
- Archived emails count as storage space. Deleted emails are removed from your Gmail drive, thus giving you more space. On the other hand, archived emails still consume storage since they are still part of your Gmail.
- Archived emails aren’t marked as read automatically. If you archive an email without opening it, that email will stay unread till you act on it.
- Archived emails can be browsed. Gmail doesn’t have an “Archive” tab to browse the messages you sent here. However, you can use the All Mail tab to see emails from both Inbox and Archive together.
- Archived emails work with labels. You can add a label to a message and then archive it. The label will still stay. When you click the label to see all messages tagged with it, the archived email will also show up.

What Is An Archive
