Master Your Subject Lines
A successful email marketing campaign starts with the subject line.
You could have the best promotional message in the world, but nobody will see it if they dont open the message.
Its in your best interest to keep your subject line as short as possible. Research shows that email subjects between 1 and 20 characters yield the highest open rates, regardless of what type of email youre sending.
This is partially due to the fact that 55% of emails are opened on mobile devices.
If your subject line is too long, it will get cut off when its viewed on a cell phone. If the subscriber cant read the full subject, it decreases the chances theyll open the message.
Lets put open rates aside for a minute and get back to the topic of discussion: spam.

I recommend personalizing your subject lines. Personal subjects have higher open rates and click-through rates. They also tend to increase website traffic and drive sales.
Use your subject line to create a sense of urgency. Provide an offer that wont last forever, and make sure its properly conveyed in the subject.
Tell a story. Provide breaking news. Stimulate curiosity.
These are all great types of subject lines that will entice your subscribers to open your messages instead of reporting them as spam.
Follow Email Design/copy Best Practices When Sending Emails
Once youve properly authenticated your emails, youll already be well on your way to avoiding the spam folder.
However, dont forget the many design and copy sins that we talked about:
- Dont abuse images dont rely on a single large image or lots of small images. Use text/HTML instead of including everything in images.
- Avoid spammy copy dont use spammy words, avoid spelling/grammar issues, and dont abuse punctuation/emojis.
- Avoid unnecessary attachments dont send attachments unless theyre absolutely necessary.
- Make sure to add sender information for marketing emails, make sure to include your physical address and accurate sender information.
- Only link to reputable sites dont do anything that could be construed as tricking people into clicking links that they didnt intend to visit.
Report Emails As Not Spam
1. Go to the Gmail website on a Mac or PC, or open the Gmail app on your phone, and log in to your account, if necessary.
2. Go into the Spam folder and open the email you want to move to your primary inbox.
3. Select Report not spam at the top of the message whether you’re using the desktop website or the mobile app.
4. If this box doesn’t appear on mobile, tap the three dots in the top-right corner and then select Not spam.
After a few instances, this will also teach Gmail not to mark messages like this as spam in the future.

The Recipient List Contains Lots Of Dead Addresses
How old is your list? Where or how did you get it? Are you maintaining it regularly? Did you know those big mail servers like Gmail may flag a message sent to their server after reaching a given error threshold? That means that if your list has what Gmail considers too much dead/invalid addresses, the whole message will be flagged. You should check your list and remove bounces from it! Bounces are those delivery error e-mails you get in your inbox, dont ignore them! Remove the invalid e-mails addresses from the list right away. One solution is to verify the list with eMail Verifier at least once and then process bounces with eMail Bounce Handler as explained here.
Why Is There A Spam Folder
The most well-known cause of this problem is emails going to spam. Though, why are some emails going directly to the spam folder? Lets find out why the spam box exists. A spam folder is a storing place for unwanted and suspicious emails. This location is also called a junk mailbox or junk folder. It is created by the mail server and email program to work as a spam filter. Each mail program can have different regulations to test whether what they recieve is a spam mail or not. Some programs use spam filter ratings by estimating the percentage of confidence. A lower rating in confidence rates assumes as spam if it is below 50%. It also needs to be reexamined to make sure about its legitimacy.
After all, spam folders are practical tools for preventing those unwanted emails. It would protect the email account and your emails, and they delete email after 30 days in a spam box. However, some emails can mistakenly go into the spam folder
Many people are not checking their spam folder from time to time to see if the very email accidentally is directed there. That would be the reason to miss some of the great opportunities. Theres No Physical Address
This may be surprising to some email marketers.
But the FTC also states, Your message must include your valid physical postal address. This can be your current street address, a post office box youve registered with the U.S. Postal Service, or a private mailbox youve registered with a commercial mail receiving agency established under Postal Service regulations.
Otherwise, youre not following their requirements and your email could be marked as spam.
Its all about having some degree of traceability.
So youll notice that nearly all legit businesses include their physical address toward the bottom of each email.
Heres an example from t-shirt printing company Skreened.
It doesnt have to be conspicuous, it just has to be there.
The ones who most commonly make this mistake are the small business owners who work out of their home simply because they dont want to have their home address advertised to the masses.
And thats understandable.
In this case, your best bet is to get a P.O. box that you can use in lieu of your home address.

The California Consumer Protection Act feels like the natural descendent of the above privacy legislation, granting consumers more control over the use of their data. However, it only applies to businesses falling within specific categories. For businesses to be subject to the CCPAs requirements, only one of the following must apply:

You Dont Include Your Physical Address
You legally must include your physical address. That can be your current street address, a post office box that has been registered with the U.S. Postal Service, or a private mailbox registered with a commercial mail receiving agency established under Postal Service regulations.

The second type is called the pristine spam trap, or honey pot. It is an email address that was never used by a real person and was created for the sole purpose of identifying spammers. Honey pot addresses are placed online in hidden places where only bots are likely to find them.
Sending to just a few honey pot addresses can have a very negative effect on your domain reputation.
Email service providers know that no business reaching out to real contacts and customers would ever send to a non-existent person using a fake email address that was hidden on a page only a web crawler would visit.
The Sender Information Is Inaccurate
Heres what the FTC has to say about the sender information.
Your From, To, Reply-To, and routing informationincluding the originating domain name and email addressmust be accurate and identify the person or business who initiated the message.
In other words, you must clearly state who you are and not include any inaccurate information that could mislead someone.
For example, the sender information on my email might say Emil from Sleeknote.

Why Are My Emails Being Marked As Spam
We work very hard with third party companies to ensure that your messages land in your clients inboxes. While we have a nearly 100% deliverability rate, based on your email habits or your clients settings, some messages may end up in their spam folder.
Here are a few things that may help correct this issue:
Follow best email practices. Try not to send emails en masse and reduce the number of emails you send from your business email account, which can be an indicator of a spam account.
Tell your client to check their email settings. Have them make sure your email has not ended up on their blacklist. If it has, they can add you to their whitelist to ensure none of your emails go to their spam folder.
Check your email Templates. Try to limit the amount of links and attachments used to reduce the likelihood of your emails being marked as spam.
Turn off your email integration. You can leverage your sending reputation by doing this, but beware that if you un-sync your business email, your emails will come from a HoneyBook email and when your client responds, their replies will only appear in HoneyBook.

The Recipient List Contains Spam Traps
Spammers usually collect email addresses by using automated e-mail address harvester software. Those tools build lists out of web sites. Spam traps are specific email addresses placed on purpose so any e-mail messages sent to such type of address are immediately flagged and considered as spam. Finally, an anti-spam system may instantly block your whole message as soon as it finds a spam trap. Nobody else will get it! So, never harvest email addresses from the web and never purchase lists. Include A Text Only Version
If youre sending HTML messages, they can easily end up in the spam folder. An easy way to get around this is to add a text-only version of your message. Further, this will also help if the recipient cant read the HTML message.
If you have to send images, make sure that you use a good image-to-text ratio. Here are some tips to help your images avoid the spam filter:

Spam emails contain call-to-action for you to click a link. Then, emails with links can be deceptive for spam filters. Consider your links that might cause problems:
You may be linking a website that might look suspicious, like websites that violate copyright, contain malware, or is close to another domain that is actually spam.
Your emails may go to spam because the destination URL and the display URL are not matched. To use an unmatched URL is way too common a tactic in spam links. Scammers add or miss something with the actual URL to trick people.
