Before You Send Proofread Everything

Email templates are only as good as the effort you put into filling them out and proofreading them.

Go over every detail and make sure it actually makes sense for your situation. If not, sending that thank you email or letter will do more harm than good.

Example: In the third sample email earlier in this article, it says, thank you for taking the time to meet with me.

If you had a phone interview, you should say, thank you for taking the time to talk on the phone with me.

Right?

Otherwise, its going to sound a bit odd, and they might suspect you just cut & pasted from a template. Not good!

So be careful, take your time with these sample emails, and make sure every single word makes sense.

A Thank You Email Example For After An Interview

Heres an example of a professional thank you email to send after a job interview. The key elements of this email message include:

  • Short and easy to read
  • Shows appreciation for the interview
  • Reconfirms interest in the position
  • Reminds the hiring manager of why the candidate is right for the role
  • Leaves an easy opening for the next steps

For example, you might write:

Hi Beth,

Thank you for taking the time to meet with me yesterday. I enjoyed hearing about what the day-to-day work would look like as a Senior Account Representative.

Im confident that my 2 years of experience in customer support at XYZ Company would give me an advantage in this role, especially since both positions involve responding to a high volume of customer requests primarily via email.

Ive learned that communication via email requires a unique approach, since you cant gauge their reactions in the moment, and its easier to have miscommunications if youre not careful.

This is something Ive worked on mastering in my previous position and Id love to continue working in this area.

Thank you again for your time yesterday, and I look forward to hearing about the next steps!

In the meantime, dont hesitate to contact me if you have any questions or concerns.

Best regards,

When Should I Send A Thank

You should send the letter as soon as possible. Ideally, you should send it within one day of having an interview.

Career Karma entered my life when I needed it most and quickly helped me match with a bootcamp. Two months after graduating, I found my dream job that aligned with my values and goals in life!

Sending a letter sooner rather than later is a good idea because the details of your interview will be fresh in your memory. If you write a letter days after an interview, some details may slip your mind. This will make it more difficult to write a good letter.

In addition, waiting a few days to send your letter may result in you forgetting to write one in the first place. The delay may reduce the effectiveness of the letter. If a company has already made a decision about who to hire, they will not take into account your thank-you letter.

Why Write A Thank

There are multiple surveys and research that support why sending one is key:

  • TopResume: A survey by TopResume showed that 68% of employers and hiring managers say writing a short thank-you note post-interview matters. In addition, they mentioned 16% of interviewers rules out a candidate if they didn’t send a thank-you email.
  • CareerBuilder: In a survey by CareerBuilder, only 57% of candidates sent a thank-you note after their job interview.
  • Robert Half: 80% of hiring managers agree that receiving thank-you emails after an interview is helpful in the hiring process.

This means that 31% of qualified candidates didn’t send any type of follow-up email after their interview.

It takes about 5-minutes to complete this note. It’s clear job seekers should spend a few minutes to send one once the interview is complete.

When To Send Your Thank You Note/email

If youre sending an email, I recommend sending it the first business day after your interview, around lunchtime.

So if you interviewed Mon-Thur, send it the next day. If you interviewed on a Friday, send it Monday at lunchtime.

And if you decide to send your thank you note in the mail, I still recommend you send it one business day after the interview. Of course, the time of day doesnt matter in this case.

What Happens If Interviewer Doesnt Respond To Thank You Email

No, its a non-sign. Thank you messages sent from candidates to the interviewer are not common and they are not part of the official conversation between a candidate and the prospective employer. If an interviewer answers and provides enthusiastic feedback, sure, its a good sign. If he doesnt, its a non-sign.

This is obviously a very short, casual message. I come from a background in tech recruiting, where companies are NOT very formal. They use email , and they keep it brief.

While the sample thank you note above could be sent in the mail as a letter, its best as an email after your interview.

And its best when interviewing at start-ups, technology companies, or other modern companies.

Those companies will NOT want to see a formal, five-paragraph thank you letter that takes up a full page. In fact, it might make them want to hire you less.

However, if youre in a more traditional or formal industry , or if you want to send a thank you note in the mail rather than email, one of the next two thank you note examples might be better.

Virtual And Phone Interviews Still Deserve A Thank You

Since so many interviews are taking place virtually you should know that a thank you email is still required. The interviewer still spent time explaining the role, their company and answering your questions.

Sending an email is probably the best way to ensure they see your thank you, as they may not be going into their office.

Customize Your Emails After Each Step In The Interview Process

Make sure you’re emailing everyone involved in your interview process and customizing your notes according to the stage of the interview process and what you discussed with that person.

For example, if you’re sending a thank-you email to the recruiter who contacted you, you could include something like this:

“Thanks for answering all of my questions about the role and setting up my next interview with ! I appreciated your insight into how the team measures success, and I believe my experience would bring a lot to the team.”

Then, if you’re sending a follow-up thank you email to the hiring manager, you could include more details from your conversation:

“Thanks for taking the time to chat with me about the position today! It was great to learn more about your strategy and approach to , and I completely agree with your philosophy on . I believe my experience could bring a lot to the role and the team — here’s my recent on the subject if you’d like to read more about it. I’m excited about learning more from your team’s VP in our conversation next week, which I appreciate you setting up.”

Finally, if you’ve made it to the final stage of the interview process and are awaiting a decision on the role, make sure your thank-you email is enthusiastic and confident so the hiring manager has the most positive possible impression of you before making a decision:

It’s amazing how putting in a few extra minutes of thought and creativity can get you exactly where you want to go.
