Why Do Your Emails Get No Response
There are three basic reasons for that:
- The problem may lie in the content of your email. Perhaps it didnt hit the right chord and recipients didnt find it interesting enough. Or they need some more touchpoints to get engaged.
- Your addressee is a busy person and simply forgot to reply or missed your email among hundreds of other messages.
- Your email landed in SPAM or the promotions tab and recipients never saw it.
In the first two cases, you can get a second chance to catch their attention by sending a follow-up email after no response.
In the last case, the problem is a bit more complex and requires some investigation to be done first. To learn more about spotting & solving email deliverability problems, read this blog post.

Response Rates: Ideal Number Of Follow Ups
A study from Iko System saw an 18% response rate to the first email they sent, and 13% to the fourth. The sixth email in the sequence received a massive 27% response rate.
A similar study from Yesware saw a 30% reply rate to the first email and 14% to the fourth. They actually sent 10 emails in total and even the very last one had a 7% response rate.
Despite this, Yesware reports that a colossal 70% of email chains stop after just one unanswered email.
It gets worse, or better, depending on how you look at it: Roughly 80% of prospects say no four times before they ultimately say yes. But 92% of people give up after hearing no four times.
So, why does that matter? It means that only 8% of salespeople those following up at least five times are generating 80% of all sales.

Your email follow-up should be:
And most importantly, it should offer something of value.
Sound easy? You wont believe how many people still send a follow-up wrong.
For example, heres a message that Ive received a couple of months back.
Would you care to answer it?
Probably not. I certainly didnt. This message is harsh, it shames your prospect for being too busy with their own life and it doesnt include their name or the name of the company that they are working for .
This kind of a follow-up isnt just a waste of the senders time it actively wastes the prospects time, and thats even worse.
If this looks similar to your approach to follow-ups just stop sending them. And read on.
Lets discuss in detail what makes a proper sales follow-up.
Use An Appropriate Subject Line
An important aspect of learning how to write a follow-up email has a lot to do with its subject line. The subject line will be a deciding factor against your email open and reply rates. A catchy and relevant subject will ensure your email gets noticed among the sea of emails in your leads inbox. Craft your subject line to highlight the most important part of your email content. It could relate to a CTA, like Awaiting Your Nod or anything else thats already part of the email.
Optimize the length of your subject line, keep it short, and between 3-6 words, as its readable on mobile screens. Dont include spam triggering keywords which could lead to your email being filtered out from your leads primary inbox. Use tools like subjectline.com to test your subject for its tone, length, and effectiveness.

Dont Follow Up Too Quickly
Salespeople like to categorize themselves as persistent. Its one of our calling cards and part of our identity, but when following up, persistence can begin to look a lot like pestering.
Being persistent without insight into why the prospect isnt responding is not smart. If youre only waiting a day or two to touch base again after the first outreach email, youre not giving them time to respond.
Worse, it signals to your prospect youre not that busy and no one wants to work with a desperate salesperson. Wait at least three days between your first and second follow-up attempt. Then and only then should you accelerate your outreach cadence.

Theyre Uncomfortable With Email
With all the technology surrounding us on a daily basis, its hard to believe there are still some people out there who havent jumped on the bandwagon. For these people, discussing particulars over email feels foreign and uncomfortable. Theyd rather talk things such as design proposals or money face-to-face, or at least over the phone. They could just be waiting until your next meeting with them to answer your questions and get into the nitty-gritty details.
What to do: If email just isnt working, dont force it. Pick up the phone. In fact, schedule a time to call them that is on both yours and their schedule. The perfect follow up email wont help every unresponsive client, especially when the issue is not the contents of the email but email itself.
Be Consistent And Dont Give Up
Most sales professionals quit contacting a lead if they dont receive a response after the first email. Dont be that person.

Best Practices To Write Follow
In this section, Id like to address the most common question that comes to everybodys mind how to follow up without being annoying.
We recommend certain ethics while sending a follow-up email. Otherwise, you know what happens next youll be blocked or unsubscribed
1. Keep your emails short, to the point. Many people check their emails on their mobile devices. Long-winding sentences and too much text can be overwhelming and may dilute the main message.
2. Dont use jargon. Keep it simple. Easy-to-read messages are 36% more likely to get a response.
3. Maintain gaps between follow-up emails. Also, check if your team members are sending other campaign emails to them. If thats the case, then suppress the other campaign list. Too many emails from a brand might annoy the recipient.
4. Dont send emails at odd hours. Check your email marketing or CRM software for ideal timings.
For example, according to our own research and based on 3,38,918 emails analyzed, we have found that Tuesdays and Thursdays work best for us.
But these numbers will vary depending on your target audience. So, the best thing to do is track your email engagement metrics using the software.
Similarly, you can also check the email open rates by the hour of the day and schedule your follow-up emails accordingly.
5. Take cues from trigger events and follow-up when your prospects are thinking about you.
