In modern versions of Outlook, regular consumers do not need to go through various email settings to setup a Gmail account in Outlook. The app can quickly get the necessary settings and add a Gmail account to Outlook. Still, sometimes you might need to manually configure a Gmail account in Outlook 2016 to send and receive emails using the most popular mail service in the world.

Again, default Outlook settings for Gmail should work for every consumer. If you encountered an error and cannot setup Gmail in Outlook, follow the instructions below.

  • On your computer, launch your preferred browser and go to the Gmail website. Log in with your account.

    Important: To avoid temporarily locking yourself out of your account, make sure you don’t exceed 2500 MB per day for IMAP downloads and 500 MB per day for IMAP uploads. If you’re setting up a single IMAP account on multiple computers, try taking a break between each setup.

    Important: We recommend using Gmail only with mail clients that support OAuth. Your Google account is less secure when it’s linked to mail clients that dont support OAuth.

    Although the instructions above should work automatically and flawlessly, sometimes they dont. You may get the error message, Sorry, We Could Not Sign You Into Google IMAP. Thats when we need to dig into the Gmail IMAP settings in Outlook.

  • In Outlook, click on the File tab in the top-left corner.
  • In Account Information, click on Account Settings, and then Server Settings.
  • The IMAP Account Settings window will open, showing the Incoming mail settings. Check to make sure the settings match the following:User name: your Gmail addressServer: method: SSL/TLSRequire logon using Secure Password Authentication : UncheckedThis is highlighted below because it is the most likely cause of the connection not working.

  • Enter your account username. Your username is your full email address
  • Enter the email accounts password.
  • Enter your accounts POP server information. This is the Incoming Server information on your View Email Client Info settings. Make sure you enter the correct mail server name and the corresponding port number.

    If you are using the Secure SSL/TLS settings, make sure you select Port 995 from the Port drop-down menu.

    If you are using the Non-SSL settings, select Port 110 from the Port drop-down menu.

  • Select the desired options:
  • Leave a copy of retrieved messages on the server check the box if you are also accessing your emails on another email client or device , otherwise the emails in your domain email account will be deleted and you will only be able to access them in Gmail
  • Always use a secure connection when retrieving mail if you are using the Secure SSL/TLS settings, then you need to check the box. If you are using the Non-SSL settings, then uncheck the box.

    To get started, lets setup the Mail app first. The great thing about the three apps in Windows 10 is that they are all integrated. Once you add your Google account to the one app, it will automatically be added to the other two apps too. In addition, each app has links to the other apps in the sidebar, so its super easy to switch between the apps.

    To open the Mail app, just click on Start and type in Mail. The top result should be Mail Trusted Microsoft Store app.

  • Choose IMAP or POP for your new account. If you arent sure which one to choose, contact your email provider.
  • Enter the information for Incoming Mail Server and Outgoing Mail Server. Then tap Next. If you don’t have this information, try to look it up.
  • If your email settings are correct, tap Save to finish. If the email settings are incorrect, you’ll be asked to edit them.
  • If you still can’t set up your email account or save your email settings, contact your email provider.
