Emails Arent Going Away
Regardless of what millennial marketers say, email is still king. According to a 2017 benchmark study by the consulting firm DMG, consumers polled said that when it came to being contacted by a business, they would prefer to be emailed over getting a phone call, a SMS message, an online chat, or through a social media channel or app.
Although there are obvious business situations where a voice call is necessary, email remains a very powerful communication channel.

Why You Get Unwanted Messages
There arebasically two sources of unwanted messages:
- contacts you know
- contacts you don’t know
Unwantedmessages from people you know can happen when you leave a job or project.Often, your email address stays on mailing lists associated with that job orproject. For example, after I left a corporate job I still received emailsrelated to that job.
A year after leaving the job I was surprised to receive anemail invite to their annual tradeshow. They didn’t really want me to attend, but I had gone the year before as an employee. The people putting the tradeshowtogether still had my name on their email list.
Sometimes, youreceive unwanted emails from people you don’t know. Spammers can get your emailaddress through various methods. Here are just a few:
- Guessing – They may use an algorithm to generatevariations of an email. They then send the same spam message to every emailaddress generated.
- Hacking – Occasionally secure lists are hackedand details are leaked, including email addresses.
- Purchase – Some companies sell lists of emailaddresses. Often these lists are created when you respond to a free offer.
- Scraping – Spammers may use a tool to search theweb for email addresses posted online. They then send spam messages to theaddresses they have found.
Gmail already hassome pretty strong spam filters in place. Also, by using the techniques below, you furtherreduce your chances of receiving an unwanted message.

Recipients Cant Easily Unsubscribe
Suppose people cant easily unsubscribe from your emails. In that case, they will report your emails as spam in their email client , manually move it to the spam folder, or report you to the local or national authorities.
If someone wants to stop receiving your emails, you need to make it easy for them to leave. It helps you and them .
Here are some reasons recipients cant easily unsubscribe. The unsubscribe link is below the central part of your email footer, or the link is in a hard-to-read color or extra small font. Recipients must email you to be taken off the email list. They must have a separate log in account to an unsubscribe or mailing preferences landing page to unsubscribe or change the types of email they receive.
If you use any of these roadblocks, you are closer to having your emails marked as spam. This increases your chances of being viewed negatively by spam filters of individual companies or Internet Service Providers such as Comcast/Xfinity, Verizon, AT& T, and Spectrum.

Youre Using Too Many Images
Images can also get you into trouble with spam filters.
There are two ways that this can happen:
First off, if you have a large image in your email and little to no text, that can trigger spam filters. This one ties to the spam words point from above. To avoid getting hit with spam filters for using spammy words, some spammers moved to including all of the text in a single image file, rather than as actual text.
Because of this, sending a single image looks suspicious to spam filters.
You can also run into problems in the other direction, though. If you use a lot of images and very little text, that can also get you into trouble.
Basically, using images as a replacement for text can get you into trouble, dont do that!
Youre Linking To Shady Websites Or Using Misleading Links
The main purpose of most spam emails is to get you to click on some type of link, so its no surprise that using the wrong types of links can get you in trouble when it comes to spam.
There are two main things that can cause issues here:
First, you might be linking to a website that seems spammy for some reason. For example, maybe its associated with copyright infringement, has been infected with malware, or some other reason. Or, maybe its totally legit, but its very close to another domain that is spammy.
Second, you can get in trouble if the destination URL doesnt match with the display URL. For example, if the display URL is https://google.com but the actual link is https://anotherwebsite.com, that can get you into trouble because this is a common tactic that spammers use to trick people into clicking links.
Similarly, using URL shorteners can also cause issues for the same reason .

Include Your Companys Address In The Email
To be compliant with the CAN-SPAM Act, include your companys physical address at the bottom of your message. This can be a post office box youve registered with the U.S. Postal Service.
This is not an exhaustive list of requirements set forth in the CAN-SPAM Act, so do a deep dive into the CAN-SPAM Act and/or consult your attorney before launching your first cold email campaign. The key takeaway is this: You can send cold emailsyou just have to make sure youre following the guidelines set out in the statute.
The CAN-SPAM Act, of course, applies only in the United States. If you are sending emails to other countries, you need to make sure you understand the laws of those countries.
If you think you can fire off a cold email campaign to prospects in Canada, think again. Canadian laws are much more particular about how you send commercial email. Similarly, laws in Germany dont leave much wiggle room for cold email outreach.
Ask Recipients To Whitelist Your Emails
Finally, if all else fails, you can always ask your recipients to whitelist your email address to avoid your emails going to spam. Youll see even big brands asking subscribers to whitelist their emails, so this actually isnt an uncommon strategy:
To make it easier for people, you can create a help doc that shows them how to whitelist your email address in popular clients, like Gmail.

Annoying You In The Process
No. You have not been hacked.
From spoofing means faking the From: address on an email to make it look like it came from you. To do it, spammers dont need access to your account at all. Id say that 99.99% of the time it has nothing at all to do with your account, which is quite safe.
They only need your email address.
While your email account and your email address are related, they are not the same thing.
There are several ways a spammer can impersonate your email address and use it in the From: line of the email they send. All they need to do is craft an email with your email address listed as the sender and send it. It really is that simple. Your account need not be involved in any way.

Do Your Contacts Really Want Your Email
The easy way to avoid ending up in a spam folder, or worse, on a blacklist, is to ensure your contacts want to receive your email in the first place.
The best way to do this is with a double opt-in method. This is where you send an email to a contact after theyve signed up to your email list, and ask them to confirm that they want to receive emails from you.
This isnt required, though, and single opt-in is still a valid method, as long as you have permission to contact them.
Building lists yourself organically is the best way to avoid high bounce rates, end up in a blacklist or receiving spam complaints.
Tip: Check if your email marketing is affected by Europes GDPR or the Canadian Can-spam act, as there can be hefty fines for non-compliance.
Unsubscribe From Email Lists
Unsubscribing from email lists is an ideal way to keep a low profile. Marketers often get your email address from online forms, social media, and scraping tools, and purchase your information from other companies. So, the less you subscribe to, the less these marketers and spammers can find your address.
The Federal Trade Commission requires companies that send commercial or bulk emails to comply with the CAN-SPAM Act. Initiated in 2003, the law helps set rules and requirements for messages sent one of the rules is that companies must always provide information for how to opt out of their emails. Non-compliance with these regulations can cost up to $43,280 in penalties from the FTC.
While the law doesn’t prevent marketers from sending spam emails, it does provide a way to stop them from filling your inbox. Here are two ways to unsubscribe from individual and bulk emails.
