Dropbox is possibly the most popular way to send large files. Dropbox is probably the most popular file sharing tool. You will almost certainly find that your customer has already installed it and is used to using it, which is always a bonus. You need to create an account to use Dropbox, even though it’s free.

Send The File Through A Cloud Service

Youcan also put a large file in a cloud storage area and then share it. Commoncloud storage services include Dropbox,, and OneDrive.

OneDriveis Microsofts cloud storage area. Its built into Windows. If you’ve got a Microsoftaccount, you can store up to 15 GB on your free OneDrive account. You can find OneDrivein your Windows File Explorer :

Step3. Add the Link to an Outlook Message

OpenMicrosoft Outlook and create a new message. Press CTRL+V to paste the link into your email message:

Whenyou’re ready, click the Send buttonto send your email message. When message is received, the recipient can clickthe link in the email to access the large files you shared.

As A Google Drive Link

Though OneDrive comes native to most Outlook users, Office 365 users can also try the Google Drive integration. Similar to OneDrive, you can share file links directly from Google Drive.

One of the easiest ways to add Google Drive to Outlook webmail is via Settings. Click on it and choose View All Outlook Settings > Attachments. Now, click on the Google Drive icon.

You need to provide the username, password, and permission. Once done, all you have to do is tap on the Attachment icon > Choose Cloud location, and select Google Drive from the left menu.

Next, choose the files which you want to attach, and thats pretty much it.

You can also add your Dropbox account if you have one. If you are someone who uses all these cloud storage solutions, you can add all of them. And whenever you need to send some large files via Outlook, just choose the relevant storage solution from the left panel.

What makes these two methods super useful is that you can remove them anytime you want. Head over to Settings > Show all Outlook settings > Attachments, and tap on the Remove account button.

Issues With Large Attachments

Even if your message doesnt exceed the Outlook or Exchange Server attachment size limits, there is a chance your recipients email provider might block messages that include large attachments. To help reduce the size of attachments that you send in Outlook, see Reduce the size of pictures and attachments.

In addition to mail provider limits on total message size, sending large attachments through email is not always the best solution.

  • Your message might cause your recipients mailbox to exceed the storage quota If the recipients mailboxes exceed the storage quota, the recipients could be prevented from receiving other messages.

  • Your message might cause your mailbox to exceed the storage quota Each message that you send is saved in the Sent Items folder. Sending large attachments to other people counts against your mailbox size quota as well. When you exceed the storage quota, you could be blocked from receiving additional messages.

  • Attachment bloat When a file is attached to message, it has to be encoded. The encoding process causes attached files to become 1.37 times larger than they are on your computer. For example, if you send a 5 MB file attachment, the attachment is sent as 6.85 MB of data.

If you have your own web hosting account, you can use the anonymous FTP feature thats usually included with these accounts.

Checkwith your web hosting provider if youre not sure if you have this featureenabled.

Ifit is enabled, when youre logged into cPanel, just visit the FTP section andlook for the username of the anonymous account. Select Configure FTP Client tosee the server name that your email recipient can use to make the FTPconnection.

With Gmail, you can send attachments limited to 25MB and receive files of up to 50MB. It makes sense to use the built-in Google Drive to send big files. Open your Gmail account and click the Compose button. Click the Google Drive icon at the bottom of the compose window.

The Insert files using Google Drive window appears. Select the files you want to attach. At the bottom of the page, decide how you want to send the file:

  • Drive link works for any files stored in Drive, including files created using Google Docs, Sheets, Slides, or Forms.
  • Attachment only works for files that weren’t built using Docs, Sheets, or Slides.

When you attach a picture as a file, the picture won’t display directly in the body of the email message. Instead, an icon of the picture will appear under the message subject. For image files, you’ll also see a small preview of the picture along with the name and size of the file.

If the picture attachment is too large, you can tell Outlook to resize the picture for you when you send the message.

  • Select File.

  • If your image is large, you’ll see this message: Some recipients may not receive this message because of image attachments. Resizing large images may help the message get delivered. Resized images will be a maximum of 1024×768 pixels.

  • Select Resize large images when I send this message.

  • Select the left arrow at the top left corner of the screen to return to your message. Compose your message, and when you select Send, all picture attachments will be automatically resized.

  • Note: If you embed the picture in the message body the picture appears in the message by using the Picture command in the Illustrations group, the image attachment resize feature is not available.

    Paste the Google Drive file link into the web address field. Select OK to complete the process. This will insert the link in your email. Select Submit to complete the process. The recipient just needs to click the link to download the file from your shared file on Google Drive. With this approach, the size of the file doesn’t matter.

    In theory, theres no limit to the amount of data you can attach to an email. Email standards dont specify any sort of size limit. In practice, most email serversand some email clientsenforce their own size limits.
