Using An Undisclosed Recipients Contact
Creating an Undisclosed Recipients contact gives you a way to put something in the To field that makes it clear to recipients that other people also are getting the same message and that names are hidden. You can think of it as a courtesy. Anyone who receives the message will simply see Undisclosed Recipients as the main recipient of the message.
The Undisclosed Recipients contact isnt a special entity in Outlook. Rather, its just another contact with your own email address attached. You can name the contact anything you want, but Undisclosed Recipients has become kind of an accepted tradition.
Why & How To Use Bcc For Emailing Large Groups
Using blind carbon copy allows the people added to the BCC field to remain concealed from the other recipients. Doing this can also prevent accidental Reply to All emails.
When you enter email addresses into the BCC line of an email, you dont need to enter any recipients into the standard To line. Just enter all your recipients in BCC, include your subject and your message, and youre good to go.
Creating An Email For Undisclosed Recipients
So, let’s cover how to send a Bcc email and what to do when we are creating a new mail message to send to undisclosed recipients.
What you want avoid is copying and pasting everybody’s email addresses into the To field or the Cc field because when people receive the message they can actually see all the email addresses that have been popped into either of these fields.
What we need to do is enter the email addresses into the Bcc field. However, this field isnt always visible in a new message form.

How To Store Personal Information
You can either collect all the personal details of your recipients in your own lists or create a new spreadsheet. Paste the email addresses in the first column and create additional columns to add more information such as the first names.
If youre sending out a mass email to recipients, such as your clients, you might already have all this information as theyve submitted it they signed up for your product or service. If they havent submitted this information, you can simply check the emails theyve sent you to get their first name and additional personal information.

How To Send Same Email To Multiple Recipients Separately In Outlook
Lets first look at the definitions of Cc and Bcc.
Cc stands for carbon copy, and means that recipients added to this field will get a copy of your message. Addresses that are Cc -ed are visible to all recipients.
Bcc, or blind carbon copy functions the same as Cc, with one difference: Bcc-ed addresses are hidden from all recipients.
Both features are available in Gmail and Outlook.
To send the same email separately to various users in Outlook follow the guide below.
- Find and add the Bcc field for your message. Go to Options, and in the Show fields section, select Bcc.
- The Bcc box will now appear by default for every new message.
- To send emails to small groups where everybody knows each other, use the Cc field. Enter all of the addresses there, separated by commas.
- To hide addresses, use the Bcc field, just like the Cc field. No one will be able to see the addresses added in this field.
However, there are some problems with this messaging style.
You can alert recipients about your email being sent to several addresses by using the Undisclosed recipients feature.

How Do You Hide The Names In A Contact Group
The good news is that hiding the names by using the BCC option when you create your email is simple.
BCC stands for blind carbon copy. Youve almost certainly used the CC option when you want to include someone whos not the primary recipient of an email. BCC works exactly as CC does, except that BCC recipients see only the name of the sender and the name of the person in the To field.
People whove been BCCd also dont see if anyone has been CCd and dont receive any replies if someone clicks Reply All.
The BCC field is not visible by default when you create a new email, but accessing it is easy. Open a new mail in Outlook and click Options > BCC.
This will display the BCC field in the new mail.
You have to do this once only. In the future, all emails will show the BCC option. If you want to hide the BCC field, click Options > BCC from any email, and it wont appear again.
Now that its visible, enter your name in the To field and your contact group in the BCC field.
Everyone in the contact group will get the email, but theyll be able to see only the person who sent it and the person in the To field .
The first time you do this, consider putting a note in the email explaining to people youre using BCC to protect their privacy. This will stop your less tech-savvy recipients from wondering why theyre getting an email that looks like its from you to you!

A Better Approach: How Gmass Helps You With Email Groups

All you need is a powerful Gmail extension like GMass to cover all your email needs and change your entire outlook on group emailing!

But how does GMass help with group emailing?Heres how:
For Saving Undisclosed Recipients Lists
The ability to save your mailing list is another wonderful feature that comes with sending emails to undisclosed recipients. If you send mass emails regularly, you can leverage this feature to save yourself a lot of stress.
So, instead of compiling a fresh list of recipients every time you have to send mass emails, you can simply save your recipients the first time and add to it subsequently. With this feature, email marketers execute mass emails with more convenience.

Lack Of Personalization: Cant Add Individual Names
Gmail cant automatically add personalization variables like contact information, a persons name, or their companys name to your group emails. You can only compose a generic message for all the members of your email group.
Why does that matter? You cant customize your group emails on a person-by-person basis!
Every member of your email group will receive the same generic message that might not address their individual concerns and needs. This could ruin your chances of making a connection, and your mail might even end up in their spam folder.
Think about it.What would you rather receive:
- A generic, bland email that looks like spam?
- Or one thats carefully detailed and tailor-made for you?
How Can You Create The Mail Merge Template
To create a template, Open SalesHandy> > Templates> > New template.
Name your template appropriately for your quick reference in the future. Add a nice subject line and body to the email. In the email body, use the HTML tags for personalization. So, while you send your original email, these tags will be replaced accordingly.
Whenever you feel the need to use the template, select your desired template by clicking on Insert template.
There you go, you can now draft your email with much more ease and effectiveness than before.
