How To Send A Blind Copy Email

How To Bcc In Outlook On The Desktop

Using Bcc (Blind Carbon Copy) for mass emails

1. Open Outlook on your Mac or PC. Open a new, blank email.

2. By default, Microsoft doesn’t display the Bcc field, because it’s not commonly used. To turn it on, click “Options” at the top of the email window, and then click “Bcc.”

3. Now write and address the email in the usual way. In the Bcc field, enter any recipients you want to hide from everyone else. When you send the email, the Bcc line will be hidden.

When Should You Use Cc

The use of CC is a bit of a debate, as it functions the same as adding multiple recipients in the To field. Whats so special about CC?

Using CC is more a matter of etiquette than anything. The general rule is that the To field is reserved for the main recipients of your email. Other interested parties can be included as a CC so they can have their own copy of the email.

CCing other parties also makes it clear to all involved that the email has been seen by everyone.

Email Etiquette When Should You Use Bcc And Cc

Do you work in a business where you spend more time sorting through your email Inbox then on productive work? Well if you are being CCd into everything unnecessarily then it is time to make a change!

Today Im talking about what To, CC and BCC actually mean and best practice when using them.

In our business we recently started using a new software provider and Im responsible for the client work on this platform. We had two weeks of teething issues when completing our first project and I originally started CCing my business partner Tom in on the emails I was sending to the tech support team to keep him in the loop, but in fact I was going against everything I tell our clients. All I was doing was distracting him and myself unnecessarily.

I check my emails 2-3 times a day and only at specific times whereas he leaves his open so every time the tech support team would respond, he would read it and then ask me Dannielle did you see their response? or ask what was the issue?. This was distracting both of us, we have daily chats so the topic could have just been brought up then without taking us away from our scheduled tasks.

So. firstly, what is To, CC and BCC anyway?

Ok, so lets break it down:

The To Field:

Add email addresses in the To field for people you are specifically addressing. When people see that an email is directly sent to them they will be under the impression they need to respond or complete an action.

The CC field

Using BCC in an email thread is useful when you want to maintain the privacy of recipients or when you want a colleague to stay informed of a conversation youre having with someone.

However, using BCC is a risky move as it has many drawbacks, especially when it comes to email etiquette. Instead, using a tool like GMass is your best bet when you want to email a large group of different people separately.

What Does Bcc Mean

BoldBrush How to Send Email as Blind Carbon Copy (BCC)

BCC stands for blind carbon copy. Just like CC, BCC is a way of sending copies of an email to other people. The difference between the two is that, while you can see a list of recipients when CC is used, thats not the case with BCC. Its called blind carbon copy because the other recipients wont be able to see that someone else has been sent a copy of the email.

BCCing yourself is a very useful thing for following up on emails. If you prefer to have an email that you sent in your inbox, usually for the purposes of following up on them, adding your own email address as BCC is the right choice. However, people often overlook this when sending an important email, which leads to them forgetting to follow up. This can easily lead to problems down the line.

Fortunately, there is a way to automatically BCC yourself whenever you send an email, which is a surefire way of making sure that you follow up on every email. However, enabling automatic self-BCCing isnt really straightforward. It involves creating a rule in Outlook.

Why Using Gmass Is Better Than Using The Bcc Option

Here are three reasons why its better to use GMass over BCC emails:

    1. Add Tons of Email Recipients in Seconds

Manually adding lots of people as recipients to your bulk email campaigns in a BCC or CC address list can be incredibly tiring. Its also error-prone, as you may forget to add someone or mistakenly add the wrong ID to your email.

Fortunately, GMass gives you two convenient, error-free ways to include tons of recipients in seconds:

    a. Use GMass Build Email List Feature

The Build Email List feature is GMass powerful way to identify email recipients automatically. Instead of manually searching through your address book, just enter a search term, and GMass will instantly pull up all the relevant addressee details from your email inbox!

Heres a detailed guide on how to use this feature.

    b. Use Google Contacts

If youre using Google Contacts, you can select the contacts you want as recipients, and GMass automatically adds them to your address field. Its a far more straightforward method than manually going through lists of email addresses to identify the right people.

    2. Send Personalized Emails

A major issue with BCCd emails is that theyre devoid of any personalization.

Your only option is to create a general email for all the recipients or send your BCC recipients an email that only addresses the primary recipient.

As you cant address each BCCd recipient personally, youre sacrificing your chances of making a personal connection with them.

How To View Bcc Recipients Of An Outlook Email Message

It is often the case with me that I click the Send button and then remember that I should have BCC’ed on that particular email but not sure whether I actually added the names to the Bcc box. If this occasionally happens to you too, you can check the Bcc recipients of any message you sent, as explained below.

      When Should You Use Bcc

BCC has more solid uses. Here are the most common two:

When you dont want the primary recipient to know.

A good example could be when youre having problems with an employee. When sending them an email, you can BCC your supervisor or HR in the email so that they get a copy of your correspondence. In this case, the other team members will receive it, but your fellow employee will not see that other parties have been included in the correspondence.

When sending to a large list.

When you are sending an email to a list of family and friends that dont know each other, for example, put their addresses in the BCC field. The email will look as if it has been specifically sent to them since there wont be anyone listed as CCed. It also makes for a clean email, since there wont be a long list of recipients.

Just remember: If youre sending to your business mailing list, make sure you use an email platform like Campaign Monitor so that your emails dont land in the spam folder, get opened, and look professional.

Using Bcc (Blind Carbon Copy) for mass emails

When you need to send information from your company to multiple recipients while using Googles Gmail. its often a good idea to send it using the blind carbon copy method. Using Bcc enables you to keep each recipients name hidden from all the other recipients. For example, you might want to send a message to all of your vendors, but you do not want to let them know about each other. Typically, you will enter your own email address in the To field and the other peoples addresses in the Bcc field.

How To Locate And Open Cc And Bcc Fields

If you don’t see the Cc and Bcc fields, you have to look for them. Once you activate the fields, they may remain in place for every new email you send.

For example: In Gmail, select either Cc or Bcc in the upper-right corner of a new message.

There is no one-size-fits-all place to look. In Safari, the fields are selected in the View tab in Outlook, they are available in the Options section.

Add Cc Or Bcc Recipients In A Mail Merge

Lets imagine a scenario, that we need to send personalized mailout to sales managers. We also need to send a carbon copy to corresponding supervisors. And a special archiving email address must be specified in the blind carbon copy field, hiding it from other recipients.

So first, we add email addresses for the Cc field to the data source.

Then, after finishing the mass email template in Microsoft Word or Publisher, open advanced mail merge features by clicking Merge and Send. Here you will find all new settings added by the Mail Merge Toolkit.

Here, in the Message settings, two ways of adding secondary recipients available:

      • Personalize Cc and Bcc using Merge Fields that will be replaced by addresses from a data source. In this case, supervisors will get a copy of a specific message only.
      • Add a specific email address, so this recipient will receive a copy of all the emails.
      • If you want to add multiple addresses, separate them with a semicolon.

After hitting the Send messages button, multiple personalized emails with specified Cc and Bcc recipients will be created and sent using Microsoft Outlook.

How do you send a group email Blind?

        Thank you

        Chosen solution

        You use Bcc:.

Where it says “To:” above your message text, the “To:” is actually a button which you can click to see other settings. “Bcc:” is one of those.

Since you’re asking this question, it would seem that you don’t have the Contacts Sidebar, because this offers three buttons, one of which is labelled “Add to Bcc”. You may have an address book button in the toolbar which toggles this side panel on and off, or you can do this by using the F7 button on your keyboard .

Tip: change it to Bcc: before entering the actual address, then when you move to add the next address, it just copies the prevailing setting.

If you use Bcc a lot, there is an addon called Use Bcc Instead which will help you with this, by suggesting or automatically using Bcc.
