There are many ways to save an Outlook email or other items to a separate file. Which one you choose depends on your needs. One Outlook message or many? Compatible for many people or not? Easy to search or not?

Some options work for a single message only. Others can be used to save many messages in the one file. Weve left the most obvious one until last on our list.

Save A Message As A File On Your Computer Or In The Cloud

  • Double-click to open the message you want to save, and on the File menu, click Save As.

  • In the Save as dialog box, in the Folder pane, choose a folder, and then the location in that selected folder where you want to save the file.

  • In the File name box, type a name for the file.

  • In the Save as type list, accept the default type, or choose another file type in the list.

    To save an email from Gmail, open the email and click the three dots in the top-right corner next to the Reply button.

    In the menu that pops up, click Download Message.
