What File Format Of Images Should I Use In An Email Signature
- JPG:This is the most common format and also the most portable format. It works well with photos and does ok with logos. It is usually relatively small in size and has 100% compatibility across all email clients.
- PNG: This is a slightly newer format that has most of the same advantages of a JPG, but also can have full high quality transparency to let a background show through the box of an image.
- GIF: This format doesn’t work well for photos, but works great for specific use cases like logos or illustrations with flat and limited colors. It can also include animations sometimes.

A Few Reasons Why You Shouldnt Have Your Whole Email Signature As An Image
There are quite a few reasons why using an image as your email signature is considered bad practice and should be avoided at all costs.
Cannot Click Elements in the Email Signature
The point of email signatures is to allow your recipients to contact you easily, right? When you send someone an email with a signature that is just a large image, youre doing the opposite.
Not Able to Copy and Paste Your Information
Similar to above, lets say the recipient wants to send your details to their friend to give you referral business. Well, they cant copy and paste the information because its not text, its an image. Youve possibly just lost some referral business.
You hire a new employee, and they need a new signature. However, before they can get an email signature, you must get someone who is an expert in Photoshop to create their signature for them. A few hours later, and its done.
It shouldnt take that long, and its easy to make mistakes doing it this way. Thats why its not a scalable solution.
For an email signature solution to work properly, consistency is key. If you have 10 employees and 5 different looking email signature layouts, its not going to look good to your recipients.
Creating each individual email signature using an image is bound to cause inconsistencies across your team.
Thats a bad look!

This is probably because you have used Word to create your signature. Often this is the result of some Word add-in that you have installed or using Words graphical objects to create your signature image with.
It is really not recommended to use Word to create your signatures. If you want to use Words graphical objects to create your signature image, you can still do that directly in Word. Then make a screenshot of it and paste the screenshot in a picture editor . In the picture editor, crop the screenshot so that only your image is visible and save it as a png-file. You can now insert the png-file as any normal signature image via Outlooks built-in Signature Editor.
