I get asked this frequently: Whats your opinion on sending a thank you email, versus mailing a thank you letter after your interview?

For most people, I recommend email. There are three reasons why:

  • You can make sure it gets delivered at the exact time you want
  • Its easier and takes less time
  • Its more modern and simpler for the company
  • However, in specific cases, you may want to send a thank you letter in the mail after an interview.

    A paper thank you note/letter might be better if youre in a very traditional industry . Or if youre interviewing for a very high-level position .

    But for most job seekers, I recommend sending a thank you email.

    One more option to consider: You can write a personalized thank you card and then send a picture of it digitally, either in a LinkedIn message or in an email. Thats a good way to stand out and give a more personalized feel to a digital message.

    Should You Send An Email Acknowledging A Bad Job Interview

    Send this only if you are absolutely positive that you failed the interview. Often, we can be too self-critical as we look back at our performance in an interview.

    Apologizing for something that was NOT viewed as a failure by the employer can backfire, big time!

    However, if an interview scheduled for sixty minutes lasted only five minutes with no business emergency reason given for the shortened interview and no apology or request to reschedule, something was wrong.

    Or, the interviewer clearly lost interest and tuned you out, ending the interview with a chilly good bye. Then, you might have a failed interview.

    Yes You Should Send A Thank You Email

    The post-interview thank-you email probably isnt going to make or break your chances of getting a job. But you should probably send one anyway, as theres more downside associated with foregoing the formality.

    If you dont send one, the hiring manager may notice and subsequently doubt your enthusiasm for the position, said career coach Kirsten Nelson. A polite follow-up might not cinch the job for you, but it at least shows that you want to work there.

    Theres even more downside if you dont send a thank-you email after having been interviewed for a customer-facing position, like a sales or customer success role. Hiring managers want to see candidates in these positions demonstrate initiative and follow-through, said Stephen Jensen, director of mid market atKeepTruckin.

    With sales, you want follow-through, you want to evaluate their forms of communication because it gives you some indication of how that candidate will be at your company in the role, Jensen said. You want to see those built-in best behaviors.

    Theres upside to sending a thank-you email as well. They help candidates stay top of mind with hiring managers, even after the interview process is over.

    Shwetha Shankar, vice president of customer success, had once passed on a candidate for a role she was hiring for, but the persons thank-you email stuck out to her. So when a better-fitting role opened up down the road, the thank-you emailer was the first person Shankar reached out to.

    Hiring managers recommend you send a thank you email quickly.

    Jeff Kelleher, Talent Management Specialist at Combined Insurance, states, My suggested rule of thumb is to send a thank you email within 48 hours of your interview.

    Vienne Cheung, a Partner at Motu Novu in Boston, recommends that you send an interview follow-up email within 24 hours: For me, I read that as a candidate that is eager to work with us.

    Make sure you either send emails to everyone you met or reference the other people in the thank you email to the hiring manager.

It also shows that they were paying careful attention to the entire room and content of the interview, and not simply focusing on the hiring manager.

    The fact that you got the interview shows that you made it further than most other applicants. For any job position especially a coveted one with a good company there are usually dozens, hundreds, or even thousands of applicants.

    Most applications and resumes get thrown out pretty quickly. Thats the harsh reality when a job is in demand, recruiters just cant give everyone a chance.

    Nevertheless, youre probably not the only applicant who they are interviewing, either. If it was a phone interview or an interview over Zoom or Skype, the likelihood that there are other interviewees goes up.

    After all, its not that hard to schedule phone or Zoom interviews back to back.

    A follow-up email gives you a chance to stand out and make yourself look better.

    You might think that everyone is sending a follow-up email, but thats not true! In fact, 57 percent more than half of interviewees do not send any thank you note after an interview.
