How To Add A Signature In Outlook

To create a new email signature, open a new email message.

A new window will appear, and you’ll be in the Message tab. Look in the Include group, and select Signature.

The Signatures and Stationery window will appear. In the Select signature to edit group, select New.

Yet another window will appear. Here, enter the name you’d like to give your signature, then select OK.

You’ll now be back at the Signatures and Stationery window. This is where you’ll create the signature. You can include text, images, and links, and format it to your liking.

Your email signature is essentially your electronic business card, so be sure to give it a professional appeal.

Next, under Choose default signature, specify which email account this signature will be used with. If you have more than one signature saved, you can also select which signature to use for new messages versus replies and forwards. When you’re ready, select OK to save your signature.

Note: This signature will not be applied to the email message that you previously opened to create the new signature. Create a new message to see the changes take effect.

Add your company name and logo to the email signature if you work as an employee. If youre a freelancer, you could include your blogs name/logo and attach a link to it.

The Files You Will Be Using:

  • email_example.html This file is your signature . More precisely, it contains HTML code, which, when read by a browser such as Google Chrome, will create the layout and content of your signature. It also contains CSS code, which controls the styling of the signature. The file itself does not contain the images, and instead contains a web address for the image. The browser then uses the URL to insert the image into the signature. You will edit this file as needed, to customize the look for your branding.
  • signature-example-minified.html This file contains the same code as email_example.html, except that the extra spaces and new lines have been removed from the file. You will use a program to generate a new version of this file at the end of the guide, ready for use in email programs.
  • image-1.png These files are part of the signature and their location is referenced in email_example.html. You will be creating and formatting images to replace these in the customization process.

Hotmail does allow for the use of limited HTML in email signatures, and this does include the use of images as long as they are hosted in a public place.

All thats required for you to do this is the following:

  • Use a free image hosting service and upload your image there.
  • Get the direct link to the image from the image hosting service.
  • Input this link into your signature using the HTML < img> tag.
  • Heres how thats done:

    First, get your image. Use whatever image you want.

    Second, host your image. For this example I will be using ImageShack because it has a super-friendly auto-resize feature. Simply check the box for resize image and select 100×75 avatar. This is absolutely perfect for signatures as its just the right size so it wont annoy people you send mail to.

    For my example I will use an image of a disgustingly ugly pair of dopey pants:

    After you upload your image to ImageShack, you will see a screen for a Direct link to image, like this:

    Open a new tab in your browser. This is done easily with CTRL+T.

  • Prepare the image you want to use by uploading it to your website server or another photo storage platform. Open the image in your browser. In Yahoo, you can easily paste a logo image right into the Signature editor. Since you cant resize your logo in the editor, its a good idea to create the exact image size you want to use.

  • Sign in to and select Settings> View all Outlook settings at the top of the page.

  • Under Email signature, type your signature and use the available formatting options to change its appearance.

    Note: You can have only one signature per account.
