As the email signatures are considered electronic business cards, make sure all users have properly created email signatures with personalized contact details. You can personalize your corporate signatures taking into account the senders name, position, and department.
For example, an internal IT signature should include basic contact information. There is no need to put fancy marketing banners, company physical address or a disclaimer into the internal communication. Check out the internal signature inspiration below.
On the other hand, when designing the signature for a Sales team, it should contain extended company details, logo, marketing banners, social media icons, and a disclaimer to meet legal requirements.

Your is, surprisingly, one of the best ways to make a first impression on your recipient. In many ways, it is akin to a digital business card for new contacts. Its also an easy point of reference for anyone who needs to contact you.
In heat map studies, email signatures created with intentionality drew a tremendous amount of attention upon opening the email. Lets look at a couple of examples.
Below is the heatmap of an email with a basic signature. Notice the way the readers attention splits between the senders contact information and their company details this information could certainly be better streamlined, to say nothing of its style or design.
Worse than that, though, is the fact that the reader devotes almost no attention to the call-to-action underneath the signature. This is a huge missed opportunity!
Now, check out the next heatmap. The following email was sent with an optimized and carefully crafted signature, with the CTA built-in.
Look at that difference! The readers eyes are immediately drawn to the signature box, where theyre called to engage further with the brand.
Now, this isnt to say that you absolutely must include a banner, or bright colors, or even any images at all. The point here is that there is a right and a wrong way to plan and design your email signature and the right way will generate a lot of opportunities for your business.
When crafted correctly, an effective Outlook signature can help achieve the following:

The Files You Will Be Using:
- email_example.html This file is your signature . More precisely, it contains HTML code, which, when read by a browser such as Google Chrome, will create the layout and content of your signature. It also contains CSS code, which controls the styling of the signature. The file itself does not contain the images, and instead contains a web address for the image. The browser then uses the URL to insert the image into the signature. You will edit this file as needed, to customize the look for your branding.
- signature-example-minified.html This file contains the same code as email_example.html, except that the extra spaces and new lines have been removed from the file. You will use a program to generate a new version of this file at the end of the guide, ready for use in email programs.
- image-1.png These files are part of the signature and their location is referenced in email_example.html. You will be creating and formatting images to replace these in the customization process.
- signature-example.psd This file is only useful if you have Adobe Photoshop, if you do, designing your signature using this template should save lots of time. If you dont have Adobe Photoshop, dont worry Our instructions for editing images are for more generic image editing software.

Use Custom Images In Your Hotmail Email Signature
Note that this is for the web-based version of Hotmail. If you are using Hotmail with the Windows Live mail client, see this instead.
Hotmail does allow for the use of limited HTML in email signatures, and this does include the use of images as long as they are hosted in a public place.
All thats required for you to do this is the following:
Heres how thats done:
First, get your image. Use whatever image you want.
Second, host your image. For this example I will be using ImageShack because it has a super-friendly auto-resize feature. Simply check the box for resize image and select 100×75 avatar. This is absolutely perfect for signatures as its just the right size so it wont annoy people you send mail to.
For my example I will use an image of a disgustingly ugly pair of dopey pants:
After you upload your image to ImageShack, you will see a screen for a Direct link to image, like this:
Leave this open for now because youll need to come back to it in a moment.
Open a new tab in your browser. This is done easily with CTRL+T.
Go to www.hotmail.com and login to your Hotmail account.
On the far right, click Options then More Options, like this:
Select Personal e-mail signature under Customize your mail, like this:
In the email signature editor, select Edit in HTML, like this:
