The first item to cover in this Salesforce training material is what you need to understand prior to creating email templates in Salesforce. To begin with, there are generally 4 options available for you. These are text emails, HTML emails, HTML emails with letterheads or Visualforce emails. When it comes to how to send mass email in Salesforce, only simple text emails and HTML emails support this feature. On the other hand, only HTML and Visualforce email templates that permit inserting images into their texts. It is also important for you to know that only the HTML templates support the tracking function. You can then determine when the recipient has received them and just how frequently they have looked them over. A simple text email does not support tracking, which makes it susceptible to be filtered by your recipients anti-spamming applications.
One caveat, some knowledge of the Visualforce script is necessary for any customization, and these Salesforce email templates may not exceed 1MB in size regardless the account type. Customize Application must be enabled to create custom email templates.
For those who do not wish to use Visualforce and would rather use the boxed templates included with creating email templates in Salesforce, a wizard is available.
Two Types Of Email Templates
In this tutorial, you will be working with Salesforce Classic Email Templates and Salesforce Lightning Email Templates. Both of these are used in different situations.
Salesforce Classic Email Templates are currently used with Workflow or Process Builder to automate email alerts. The emails are sent automatically once triggered by a certain event, such as when a transaction is approved or an account is past due. When youre using the Chargent app, youll use this version when sending receipts, Payment Requests, and Automated Collection emails.
You can also use Salesforce Classic Email templates based on your design to automate an email sent out 30 days before a renewal period. Once you set up your email automation, you dont have to track and email customers individually and find information from multiple records, as the system will do that work for you. You can set up a timeline for automated emails through Workflow with a Classic Email Template.
Salesforce Lightning Email Templates are currently used for communicating with your customers one-on-one. This email system is not automatic, meaning you cant automate it. But you can create email templates to use when you are communicating with any of your customers. This is where the merge fields come in. With merge fields, you can customize the email design to contain information unique to the customer.
