Create a 2-column signature

  • In the body, add a table.

  • Insert your contact info and anything else you want to include in the columns.

  • Copy the table.

  • Create or edit a signature.

  • Paste the table into the Edit signature box.

    In the Outlook App, you can use multiple Email Signatures within the same account. You can set a default signature for your emails, but also easily switch it to another one if necessary.

    The easiest way to adding a signature in Outlook is to first open a new mail.

  • Create a New Email in Outlook
  • Select Signature in the toolbar
  • In the dropdown menu, select Signatures
  • If you are using the minimal toolbar in Outlook then you can find the Signatures here:

  • Click on New to add a new signature
  • Give your signature a name. Make sure you use a recognizable name so you can easily select the correct signature in your emails later. You can create a separate signature for your reply emails for example.
  • Create or paste your signature in the Edit Signature text area.
  • If you want to apply the signature automatically to your emails, then select the E-mail account you want to use
  • You can set different signatures for new messages and replies.
  • When you are done, click Ok
  • Your new Outlook signature should now be available in your Email Messages. If you have set a default signature , then you should see the new signature in the body of your new messages.

    How To Sync Outlook Signatures Across Devices

    Microsoft rolling out the new functionality of syncing signatures across devices using Office 365. You will be able to use the roaming of the Outlook settings in the cloud storage. This features also enable the possibility to sync Outlook signatures between multiple devices using Office 365.

    1. To turn on Outlook signature syncing go to File and Outlook Options. In the General tab you will new option: Store my Outlook settings in the Cloud.

    Turning this option will allow you to sync your Outlook signatures to Office 365 cloud and load it on other devices.

    Based on this feature you will be able to select between local and cloud-based signature in the Outlook app.

    1. Open your Outlook on the web either by clicking the Outlook App in your Office 365 home page, or by using this direct link.

    2. Click the Gear icon in the upper-right corner and scroll down to select View all Outlook settings.

    3. In the navigation pane on the left, go to Mail> Compose and reply. The email signature editor is located under the Email signature heading. Use the provided box to enter your signature text, format it and add images or hyperlinks.

    Note: You can also use an email signature generator, which offers a bunch of preconfigured advanced signature templates that you can fill in with your personal data, copy into the editor in Outlook on the web and use for free.

    Note that it is not possible to create and use multiple signatures for a single mailbox.

    There are two checkboxes which let you automatically add the signature to your emails:

    • Automatically include my signature on new messages that I compose which adds the signature every time you compose a new message in Outlook on the web
    • Automatically include my signature on messages I forward or reply to which will add the same signature whenever you continue an email conversation

    Save changes and close the settings window.

  • Click File> Options> Mail> Signatures.

  • Click the signature you want to edit, and then make your changes in the Edit signature box.

  • When you’re done, select Save > OK.

    No Images In Office 365 Email Signatures

    Have you added an image to your email signature, but it is not displayed? Have you struggled with the dreaded red x showing instead of your marketing banners or social media icons? This might have happened because you have used a linked image . Linked images are blocked automatically by most email clients. What is more, if a web location where the image is stored becomes temporarily or permanently unavailable, the image will not be displayed. Neither will it display while browsing emails in offline mode. You can fix this issue by using embedded graphics instead:


    • Images in this option are sent as hidden attachments, increasing the email size.

  • Log in to the Office 365 portal using an Exchange Online administrator account and access the Microsoft 365 admin center.

    Add An Office 365 Email Signature

    Enter the text you want in your signature in the Email signature box. If you’re not sure what to put, there are great online email signature generators that can help.

    The Outlook Web App does not allow you to insert an image file in your signature. But you can copy an image from another program and paste it into your signature. Any text or images you paste are inserted at the cursor, not at the beginning of the signature, like with the formatting we discussed in the previous step.
