This article is talking about creating rules to automatically forward all emails from the specified senders email addresses or domains in Outlook.

    Automatically forward all emails from specified sender/domain with Rule

    This method will guide you to create a rule to automatically forward all emails from the specified sender or sender domain in Outlook. Please do as follows:

    1. In the Mail view, please click Home> Rules > Manage Rules & Alerts. See screenshot:

    2. In the Rules and Alerts dialog box, please click the New Rule button on the E-mail Rules tab. See screenshot:

    3. Now you get into the Rules Wizard. Please click to select the Apply rule on messages I received option, and click the Next button. See screenshot:

    4. In the Rules Wizard do you want to check?), please check the from people or public group option in the Step 1 section, and then click the linked text ofpeople or public group in the step 2 Section. See screenshot:

    5. In the opening Rule Address dialog box, please type the specified senders email address or sender domain into the From box, and click the OK button. And then click the Next button in the Rules Wizard.

    6. In the Rules Wizard , please check the forward it to people or public group option in the Step 1 section, and click the linked text of people or public group in the Step 2section. See screenshot:

    Automatically Forward Emails From Hotmail Microsoft Live Or Outlookcom

    Instructions below apply if you hold an email from Hotmail, Microsoft Live or Outlook.com.

    If you want to forward all emails from your Microsoft account to another account:

  • Sign in to your Microsoft account and then go to your Inbox page.

  • Click on the gear icon located at the top part of your screen next to your username and then select More mail settings.

  • Under Managing your account, click Email forwarding.

  • Select the radio button for Forward your mail to another email account.

  • Enter the email address that you want to forward the emails.

  • If you want, check the box for Keep a copy of forwarded messages in your inbox.

  • Click Save.

  • If you want to forward specific emails from your Microsoft account to another account:

  • Sign in to your Microsoft account and then go to your Inbox page.

  • Click on the gear icon located at the top part of your screen next to your username and then select More mail settings.

  • Under Customizing Outlook, click on Rules for sorting new messages.

  • Click on New. Under Step 1: Which messages do you want this rule to apply to?, on the first box with drop down list, select Sender’s address then on the second box, select is. Lastly, type in the email address.

  • Under Step 2: What action do you want to apply?, select Forward to and type in the email address where do you want the emails to be forwarded.

  • Click on Save.

    You can also set up automatic forwarding, which is convenient if you want to send all the incoming mail from your Gmail account to another email address .

    1. Open your Gmail account in a browser.

    2. Click the Gear icon at the top-right, and then click See all settings.

    3. At the top of the page, click the Forwarding and POP/IMAP tab.

    4. In the Forwarding section, click Add a forwarding address.

    5. Enter an email address to forward messages, and then click Next.

    6. In the Confirm forwarding address window, click Proceed.

    10. Return to your Gmail account. Click the Gear icon at the top-right, and then click See all settings.

    11. At the top of the page, click the Forwarding and POP/IMAP tab.

    12. In the Forwarding section, click Forward a copy of incoming mail to.

    13. Choose what happens to email that goes to the Gmail account in the drop-down menu. Your options include allowing messages to accumulate in the inbox, marking messages as read, archiving messages, or deleting them.

    What Happens If Auto Forward Is Controlled In Multiple Places Mentioned Above

    One question we encounter frequently is, how all these techniques work together? What if auto forward is blocked in one of the above methods but allowed in another? For example, auto forward is blocked by a remote domain setting or a transport rule but allowed in Outbound spam filter policy what happens? The answer to that is that a restriction in one place will restrict auto forward for all.

    For example:

    • Automatic forwarding is On in the Outbound spam filter policy.
    • Automatic forwarding is disabled for the remote domain.

    Will the automatically forwarded message be blocked by the remote domain? Yes, remote domain would block automatic forward as would an Exchange transport rule.

    Lets say you have the following requirements:

    • Automatic forwarding to an external domain contoso.com should be allowed for all users.
    • Allow users Jack and Jill to also be able to forward to northwindtraders.com, but no one else.

    External Email Forward Control Using Outbound Spam Filter Policy

    Recently released, this feature is available in Security & Compliance portal under Outbound spam filter policy . As you see in the following screenshot, there are three possible options. The default configuration is Automatic system-controlled. Other options are Off and On. Off means auto forward is disabled and On means auto forward is enabled.

    Note: If you see the option is set as Automatic system-controlled, most probably you have not configured the setting at all. For tenants where the setting is left at Automatic system-controlled, as we continue to move the service toward being more secure by default, this setting will be enforced and behave as Off . This enforcement process has started in phases and very soon, all tenants will get this setting enforced. Therefore, Automatic system-controlled will behave as Off and automatic forwarding will not work. Our recommendation is that all customers should configure the policy as appropriate for their organization and enable external auto forwarding only for the users who really need it . If for your tenant, Automatic system-controlled still does not block email forwarding, you should make this change as soon as possible .

    Next, youll select the actions for the email based on the criteria that you just entered. Check the box for Forward It To and choose the forwarding email address in the drop-down list.

    You can also select more actions if you like. For instance, maybe you want the email marked as read, sent to your archive, or deleted. Check the boxes for all the actions that you want to apply in addition to forwarding. When you finish, click Create Filter.

    Note: Once you create the filter, it will forward only new emails delivered to your Gmail inbox. If you want emails that youve already received forwarded, youll have to do that yourself.

    Enter The Filter Criteria

    Youll see the most common fields where you can enter the criteria that you want Gmail to look for. These include From, To, Subject, Has the Words, Doesnt Have the Words, and Size. You also have checkboxes for emails that contain attachments and whether or not you want to include chats.

    Complete one or more fields to define the emails that you want to forward. Here are a couple of examples to get you started.

    Maybe this Gmail account is for business, but you often receive personal emails. You can enter email addresses for friends and family members in the From field, or start typing and pick a suggestion. Then, forward the messages to your personal account.

    Perhaps youre planning an event and want to forward all emails pertaining to it to another email address. Enter the words that you want to include in the Has the Words or Doesnt Have fields if theyll likely appear in the body of the email. You can also use the Subject line field if you prefer.

    Once you have the criteria entered that you want to use, click Create Filter.

    How To Manually Forward An Email In Gmail

    You can forward a single email from your Gmail account to any other email address with just a couple clicks. The steps are the same for both Gmail in a browser and the Gmail app on your phone or tablet.

    1. Go to the Gmail website in a browser or open the app on your mobile device.

    2. Click or tap the email message you want to forward.

  • At the top of the page, select Settings> Mail.

  • In the Options menu, select Mail> Accounts > Forwarding.

  • Do one of the following:

    Note: Select the Keep a copy of forwarded messages check box if you want a copy of the original message to remain in your mailbox.
