One option when youre trying to figure out how to encrypt an email in Outlook is with an S/MIME certificate. In order to use an S/MIME certificate, you need to purchase a certificate, generate a CSR, go through the validation process, export the certificate and import it to Outlook.

To send an encrypted email, both the sender and recipient need to have S/MIME certificates and the sender needs to have a copy of the recipients public key. The easiest way to get this by having the recipient send you a digitally signed email before you send them an encrypted message.

Once you have included the certificate on your computers keychain and configured it in Outlook, you can use your S/MIME certificate to encrypt your email.

For the typical email experience, Gmail and other third-party email providers typically work great in terms of security.     There are times, however, where youll send secure documents online. Mortgage applications, social security numbers, or even scanned photos of your passport or drivers license are all examples of messages you should at least consider securing. Outlook makes this easy through a really simple to use encryption tool that comes baked into the platform.

    To Encrypt All Of Your Outgoing Messages:

    Email encryption in Outlook
    • Go to File > Options > Trust Center.
    • Click on Trust Center Settings > Email Security, and check off the box for Encrypt contents and attachments for outgoing messages. At this point, all messages you will send will be encrypted.
    • Note: You need to make sure that a person has your digital ID before you send them an encrypted message. Without the digital ID of the sender, a recipient cannot decrypt a message sent from that persons Outlook mailbox.
    • If you dont already have a digital ID, head back into the Email Security section of your Trust Center settings and click Get a Digital ID. Here, select one of the options and then follow the instructions at the linked website to register for your digital ID. Your recipients will need to add your digital ID to their contacts in order to view encrypted messages from you. You can send them your digital ID by sending them an email, heading back to the Properties menu we saw earlier, clicking into Security settings, and then opting to attach your digital signature to the message.
