How to Forward an Email

You can automatically forward or redirect your email messages by setting up Inbox rules in Outlook on the web. This is useful if you want to read and respond to messages from another email account or when you want someone else to receive and respond to your email in your absence.

Note: If the instructions don’t match what you see, you might be using an older version of Outlook on the web. Try the Instructions for classic Outlook on the web.

  • At the top of the page, select Settings> View all Outlook settings.

  • Do one of the following:

  • To turn on forwarding, select Start forwarding, enter the forwarding email address and select Save.

    Note: Select the Keep a copy of forwarded messages check box if you want a copy of the original message to remain in your mailbox.

  • To turn off forwarding, select Stop forwarding and select Save.

  • Open The Filter Setup

    You can open the filter setup in Gmail easily using one of three methods. Use whichever is simplest or most convenient for you.

    If youve just set up a forwarding address in the Forwarding and POP/IMAP tab, you can also find it by clicking Creating a Filter.

    Yet another method is using the Search box at the top of Gmail. Click the arrow on the right side of the search box. This combines looking for an email with creating a filter.

    Add Your Forwarding Address

    Before forwarding any mail, you will need to add your forwarding address in your Gmail settings. After doing this, you need to complete one of the two sections below to forward the mail.

  • Log into the account you’d like to forward mail from
  • Go to Settings > Forwarding and POP/IMAP > Add a forwarding address
  • Enter the address you would like to forward mail to
  • Check your mail at the other address – you will have received a verification email with a link to click. This tells Gmail that you own the address and should be allowed to forward mail to it.

    Troubleshoot A Missing Send Button

    Without the Send command, you cannot send an e-mail message. This section is intended to help you locate the Send command, give you possible reasons why the Send command is missing, and give you steps to fix the problem.

    The Send command is located next to the To, Cc, and Bcc boxes.

    When Outlook 2007 runs without a configured e-mail account, the Send command does not appear and no e-mail messages can be sent.

    Most people use Outlook 2007 with an e-mail account. However, the following is a list of reasons why an e-mail account is not configured:

    • Outlook 2007 was configured without e-mail support While not common, Outlook 2007 can be configured to manage contacts, tasks, or calendars only.

    • E-mail account setup was interrupted The first time Outlook 2007 ran, the setup process for an e-mail account did not complete.

    • The account configuration file is corrupted Damage to the configuration file used to store e-mail account configuration information can cause a previously configured e-mail account not to appear.

    Note: You can open an Outlook data file, known as a Personal Folders file , view previously received e-mail messages, and use the New message, Reply, Reply All, or Forward commands to open a message composition window. However, no Send button will appear unless at least one e-mail account is configured.

    How to Forward Outlook Mail to Another Email Address

    Another option is to forward mail messages by using filters. In addition to setting the criteria for a specific message you want to forward, Gmail filters help block unwanted emails in your inbox.

    While the previous method can only forward messages to one specific address, you can send emails to multiple addresses using this method. Follow these steps to start:

  • Click Settings -> See all settings. Then, choose Filters and Blocked Addresses.
  • Select Create a new filter.
  • Fill the fields with the criteria for the emails you want to forward and select Create filter.
  • The emails that fit the criteria you entered will appear. Next to the search bar, click the dropdown icon to show more options.
  • Tick Forward it to and choose your desired email address or Add forwarding address.
  • Select Create filter to finalize the setting. Repeat the same process to enter multiple addresses you want to forward to. Note that the filter will only apply to new incoming emails.

    Reasons To Forward An Email

    Forwarding is one of the most basic and widely used email features. It can make various communication processes smoother and more organized. Lets look at several cases where forwarding an email can be the best course of action.

    Telling the recipient to know or act upon the message in the original email.

    Usually, you would forward an email to inform someone who wasnt included in the original email chain. This way, you can inform them about the message or ask them to act.

    Instead of composing a new email and echoing the content from the original message, forwarding offers a more straightforward and faster alternative.

    Including attachments from the original email.

    The forwarding feature comes in handy for sharing attachment files from an email you received. When you forward an email, the attachment files will be sent along with the message. It skips the hassle of saving the files to your computer, composing a new email, and re-uploading files.

    Providing context for the forwarded messages.

    When forwarding an email, you can add a message above the forwarded email or message thread. It will provide the recipient with context, reducing the risk of a misunderstanding.

    Moving to a new email address.

    Setting up automatic forwarding is helpful when you switch to a new email account. Start creating new message rules to redirect incoming emails to your new account. This way, when people send messages to your old email address, you will still receive them in your new mailbox.

    Set Up Email Forwarding Rule In Outlook

    Now that you have all emails inside your new folder, its time to create a forwarding rule which will send out the emails one by one. Here, things get a bit more complicated, due to the fact that Outlook 2003, Outlook 2007, Outlook 2010 and Outlook 360 have all different menu navigations which changes the process slightly. The overall idea stays the same, however, and you should be able to reproduce the same outcome in different versions of Outlook. The steps below are valid for Outlook 2007 and 2010.

  • In the top navigation, click on the File tab and then Manage Rules & Alerts.
  • Choose the newly created folder in the Apply changes to this folder select input
  • On the new prompt, select Apply rule on messages I receive inside the Start from a blank rule section. Click on Next.
  • On the next screen you will be asked Which conditions you want to check. Dont select any of the conditions and click on Next and confirm
  • The next screen will ask you What do you want to do with these messages?. Select forward it to people or public groups
  • In the Rule Description in the bottom of the prompt, click on the people or public group link and enter the recipient addresses to which the emails should be sent. Click OK and youll see the addresses in the rule description text.

    How Do I Forward An Email With Full Headers

    How to Forward Selective Emails from Gmail

    If you know that emails from a specific address will always need to be forwarded, you can make the process automatic. To do so, log into your Gmail account and click the gear icon in the upper right-hand corner and click Settings.

    From the top menu, choose ForwardingandPOP/IMAP. Then, click Add a forwarding address.

    From the pop-up, enter the email address you want to forward messages to. Click Next, then Proceed, then Okay.

    To forward an email as an SMS, you will need to know the email address your carrier uses for this feature. Ill list the ones I know below.

  • Open the email in your client and select Forward.
  • Enter the phone number and the @email address in the To section.
  • Make sure the email content falls within the carriers maximum character limit for SMS.
  • Hit Send.
  • Some carriers have relaxed the maximum character limit for SMS while some have not. If the email contains HTML, hyperlinks, images, video, audio or other rich media, this may not work. It is advisable to strip out any of these before hitting forward to make sure the email is forwarded properly and not corrupted on the journey.
