How I Use My Phone For Email

Im not one of those people that check their smart phone every few seconds for emails. I dont even have my phone notify me of emails because I dont like the distraction. If I feel the need to check my mail, I manually retrieve the mail on my phone and respond if necessary.

I realize some people feel the urge to be checking their email every few seconds. If this is you, you may have email addiction! Dont worry! Its cureable! Read this post from to get help.

In Outlook, Windows Live Mail, and other mail clients on your computer, you can turn off the option to check for messages automatically. I do this on my PC so that I know if I leave for the day all the email messages will be accessible on my phone throughout the day. If my mail client was retrieving mail every 15 minutes on my computer and it is set to delete mails from the server, I would not get the messages on my phone.

Another potential problem you can run into is NOT getting your email on your desktop computer because they are downloaded onto your phone and removed from the server. This is easily fixed by changing the setting on your phone to NOT delete mail from the server.

On my Android phone , it looks like the screenshots below. You first touch Incoming Settings under the settings for your mail account and then change the option Delete email from server to Never.

How To Keep Or Delete Mail From Pop Servers

If you use POP and want to remove the deleted messages from the server, either delete those messages again from a computer or change the email settings so that the server deletes mail after it downloads to your phone.

Here’s how to change those settings in the browser version of Gmail.

  • On a desktop computer or laptop, open a web browser and go to Gmail.

  • Select the Forwarding and POP/IMAP tab, or use this link if you can’t find it.

  • In the POP download section, select the When messages are accessed with POP drop-down menu.

If you can’t select this menu, choose one of the Enable POP options just above it.

  • Choose one of these options:

  • Keep Gmail’s copy in the Inbox: When an email is deleted from the phone, the message is removed from that device but remains in your account. The message stays on the server and can be accessed from any device.
  • : Deleted messages remain in your mail account, but the messages are marked as read. If you delete a message on your phone and then open Gmail on a PC, the message downloads to the PC and is marked to show that you read the message on another device.
  • Archive Gmail’s copy: Emails remain in your account when you download or delete them from your device. Deleted emails are moved from the Inbox folder to an archive folder.
  • Select Save Changes. Emails on the server will now behave in the way you specified in Step 6.

    Its All About The Protocol

How to Delete Emails from your iPhone

Every email you send or receive on your iPhone moves through your email server: Gmail, Yahoo, Outlook, iCloud, for example. What we need to do is change the way your iPhone interacts with that server. We need to change its email protocol.

With most email setups, each of your devices constantly syncs everything it does with the server. You can think of your iPhone, your Mac, or even your Apple Watch as a reflection of whats happening with your emails online.

With this setup, when you receive an email it appears on the server and syncs to each of your devices. When you reply to that email from one device, your message syncs to the server and appears in the Sent box on all your other devices. And when you delete the message from your iPhone, it also gets deleted from the server and vanishes everywhere else.

This is what happens with the Internet Messaging Access Protocol . But we want to use the Post Office Protocol instead.

Here Is My Secret Email Process

Ok, its not secret but at least I got your attention

Everyone uses email differently. Some people are only on their desktop computer for email and dont even have email on their phone. Some people use only their phone and hardly ever check their email on their desktop computer. And some people are like me and use a little bit of both.

I like to keep my desktop computer as my main email storage and its where I receive and send most of my mail. Since Im using POP3, the emails are downloaded from the server and are stored on my local computer. You can change this setting in Outlook or Windows Live Mail to leave messages on the server.

Heres what the setting looks like in Windows Live Mail. I actually have the box selected to delete the message after one day. This is an option in Windows Live Mail but I know its not available in Outlook Express.

I like to delete messages automatically from the server for a few reasons.

    • It keeps the storage in use on my server to a minimum. I wont ever have to login to my email to delete email manually.
    • Once I read the email on my computer and either delete or store it, I prefer not to see it anywhere else . Deleting it from the server means it wont show up on any other mail clients except where it was originally downloaded in Windows Live Mail on my computer.

    And Dont Forget To Restart

Its crucial to shut down your device after removing your email and changing your settings. Restarting your iPhone, iPad, and iPod clears out all the caches and deleted items from your device!

If you use iOS 11 and above, theres a new way to restart:

    • Open Settings > General
    • Wait 30 seconds or so before powering back up

    Or follow these manual methods:

    • Restart your iPhone and iPad with Face ID
    • Press and hold the Side or Top button and either volume button until the slider appears
    • Drag the slider to turn your device completely off
    • After your device turns off, press and hold the Side button again until you see the Apple logo
  • Restart your iPhone SE and iPhone 8 or earlier or iPod touch and iPads with Home Buttons
  • Press and hold the Top button until the slider appears
  • Drag the slider to turn your device completely off
  • After your device turns off, press and hold the Top button again until you see the Apple logo
